Terms of Service
Effective: 18 October 2026. Qalamora is provided by ABT Dev Services, Lahore, Pakistan. The English text of this page prevails over any translation.
1. About these terms
These Terms of Service are an agreement between ABT Dev Services, Lahore, Pakistan, which develops and operates Qalamora ("ABT", "we", "us"), and the school, college, academy, madrasa or other institution that signs up for Qalamora ("the Customer", "you").
The person who accepts these terms at signup, or who signs an order form, confirms that they are authorised to bind the Customer. Acceptance by clicking at signup is a valid electronic agreement under the Electronic Transactions Ordinance, 2002.
These terms include, by reference, the Privacy Policy, the Data Processing Terms, the Acceptable Use Policy, the Refund Policy and the plan you choose (your "Order"). If they conflict, this order applies: a written agreement signed by both parties, then the Order, then the Data Processing Terms (for personal data), then these terms, then the other policies.
2. Definitions
"Service" means the Qalamora software as a service, its websites, mobile web apps, APIs, printouts and support, and, where licensed, the on-premise and desktop editions.
"Customer Data" means all data and files entered or uploaded into the Service by or for the Customer, including records of students, guardians, staff, fees, accounts, exams and messages.
"Users" means the people the Customer allows to use the Service: owners, staff, teachers, parents and students.
"Subscription Period" means the month or year that has been paid for.
3. Accounts and users
The owner account controls the school account. You decide who becomes a User and which roles they have, and you are responsible for what Users do in the Service.
Keep sign-in details private. We strongly recommend two-step sign-in for owners and staff. Tell us without delay at [email protected] if you suspect that an account has been accessed without permission.
Information given at signup and for billing must be correct and kept up to date.
4. Plans, limits and features
Your plan sets the modules, number of students, campuses and storage included. If you go over a limit we will ask you to upgrade, and new admissions may be paused until you do. We never delete records because a limit was reached.
Features shown as "coming soon", on the roadmap or as planned are not part of any subscription until they are released. Please do not buy the Service relying on a feature that has not been released.
We may improve and change the Service. We will not materially reduce the core features of your plan during a Subscription Period you have paid for.
5. Fees, invoices and taxes
Prices are in Pakistani rupees (PKR) as shown on the pricing page or in your Order when you subscribe, and are payable in advance for each Subscription Period. Renewal invoices are issued before the period starts and are due within the time shown on the invoice.
Prices do not include sales tax on services or other taxes. These are added where the law requires, for example under the provincial sales tax law that applies to the Service.
If you are required by law to withhold income tax from a payment to us, you must deposit it with the government and send us the withholding certificate within 30 days. Bank, gateway and transfer charges on your side are paid by you.
6. Renewal, price changes and plan changes
Subscriptions renew for the same period unless you stop renewal before the renewal date. You can stop renewal at any time from the billing page or by email.
We may change prices by telling the account owner by email and in the Service at least 30 days in advance. A new price applies only from your next renewal after the notice; it never changes a period you have already paid for.
Upgrades take effect at once. For the rest of the current period you pay the price difference for the time remaining, rounded to the nearest rupee. Downgrades take effect from the next renewal. If a module is not in your new plan, its data is kept and comes back if the module is enabled again.
7. Late payment
If a renewal is not paid by the end of the paid period, you keep full access for a grace period of 7 days. After that the account becomes read-only: you can still view, print and export your data and pay the invoice, but not add or change records. Paying restores full access.
We do not delete data because of late payment, except as described in section 17 after the subscription has ended.
8. Customer Data
You own Customer Data. You give us a limited right to host, copy, back up, process and display it only to provide, secure and support the Service, to follow your instructions and to meet legal obligations.
We do not sell Customer Data, use it for advertising, or contact students or parents for our own marketing. We may use anonymous, aggregated statistics about how the Service is used, which do not identify any school or person, to run and improve the Service.
You are responsible for having a lawful basis to enter Customer Data, for informing parents, students and staff as your policies and the law require, for obtaining any consent that is needed, and for the accuracy of the data.
The Data Processing Terms describe how we handle personal data in Customer Data on your behalf.
9. Our responsibilities and support
We will provide the Service with reasonable skill and care, keep the security measures described in the Privacy Policy and the Data Processing Terms, and take regular backups of the cloud Service.
Support is available by email and through the Service from Monday to Saturday, 9:00 to 18:00 Pakistan time, except public holidays. We aim to answer within one working day. Support staff can open your school account only when you grant access, and every such session is recorded.
10. Availability
We aim for the cloud Service to be available 99.5% of each calendar month, not counting scheduled maintenance announced at least 24 hours in advance (normally between 22:00 and 06:00 Pakistan time), urgent security fixes, and events described in section 21.
If availability in a month falls below 99.0% and you ask us within 30 days, we credit 10% of that month's subscription fee for each full percentage point below 99.5%, up to 50% of that month's fee. The credit is applied to your next invoice and is your only remedy for unavailability, except as stated in the Refund Policy.
11. Services from other providers
Some features work with services you choose and connect: SMS and WhatsApp providers, payment gateways, banks, cloud storage (such as Google Drive, Dropbox, OneDrive or S3-compatible storage) and email. Their terms and charges apply between you and them, and we are not responsible for their availability or the charges they make.
AI and OCR features send the minimum content needed to an external provider, with sensitive fields removed first. Their results are suggestions: they are placed in a review area and are saved only after a person approves them. You must check results before relying on them.
12. Your obligations
You and your Users must follow the Acceptable Use Policy. You must not copy, resell, sublicense or reverse engineer the Service, use it to build a competing product, scrape it, or run load or security tests against it without our written permission.
If you find a security weakness, please report it to [email protected] and give us reasonable time to fix it before telling anyone else. We will not take action against good-faith reports that follow this policy.
13. Intellectual property
We and our licensors own the Service, its software, design, documentation and the Qalamora name and logo. Your subscription gives you a non-exclusive, non-transferable right to use the Service during the Subscription Period under these terms.
You keep all rights in your school name, logo and content, and allow us to show them inside your school pages and printouts. We will not name you as a customer in our marketing without your written permission.
If you send us suggestions, we may use them without any obligation to you.
14. Confidentiality
Each party will keep the other party's non-public information confidential, use it only for this agreement and share it only with people who need it and are bound by similar duties. This does not apply to information that is public through no fault of the receiving party, was already known to it, or must be disclosed by law or court order (after notice where the law allows).
15. Suspension
We may suspend or restrict access, only as far as needed, if payment is overdue as described in section 7, if an account creates a security risk for the Service or other schools, if there is a serious breach of the Acceptable Use Policy, or if a law or authority requires it. We will tell you in advance where we reasonably can, and restore access when the reason is resolved.
16. Term and ending the agreement
This agreement runs while you have a subscription. You may cancel at any time; the Service continues until the end of the paid period.
Either party may end the agreement if the other seriously breaches it and does not fix the breach within 15 days of written notice. We may also stop offering the Service by giving at least 60 days' notice, in which case we refund the unused part of any prepaid fees.
17. Your data after the subscription ends
While your account is active or read-only you can export your records with the export and report tools. On request made within 90 days after the subscription ends, we will provide a full export of Customer Data in common formats (CSV or XLSX, with uploaded files) within 15 working days.
We keep Customer Data for at least 90 days after the subscription ends. After 180 days we may permanently delete it after giving the account owner 30 days' notice by email. Deleted data leaves our backups within a further 35 days. We may keep invoices and payment records for as long as tax and accounting laws require.
18. Warranties and disclaimers
We will provide the Service substantially as described in its documentation. Apart from what these terms state, the Service is provided as it is and as available, and we give no other warranties, to the extent the law allows.
Results depend on the data and settings you enter. You remain responsible for checking fee calculations, challans, results, report cards, certificates, payroll and the tax figures you use. Tax tables in the Service (for example salary income tax slabs) are provided for convenience and must be confirmed with your tax adviser.
19. Limitation of liability
Neither party is liable for indirect or consequential losses, or for loss of profit, revenue, fees, admissions, goodwill or reputation, even if it was told they were possible.
Each party's total liability under this agreement in any 12 months is limited to the fees paid and payable by the Customer for the Service in the 12 months before the event that caused the claim.
These limits do not apply to the Customer's obligation to pay fees, to a breach of section 12, or to liability for fraud, wilful misconduct, death or personal injury caused by negligence, or any other liability that cannot be limited by law.
20. Claims by others
We will defend you against a claim by a third party that the Service, used as allowed, infringes their intellectual property rights in Pakistan, and pay any damages finally awarded. We may instead change the Service so it no longer infringes, obtain a licence, or end the subscription and refund unused prepaid fees.
You will defend us against claims arising from Customer Data you had no right to provide or from messages and content you send through the Service in breach of the Acceptable Use Policy, and pay any damages finally awarded.
The party asking for defence must tell the other promptly, give reasonable help and let it control the defence and any settlement.
21. Events beyond control
Neither party is responsible for delay or failure caused by events beyond its reasonable control, such as natural disasters, epidemics, war, riots, government action, internet or power outages across a region, or failures of major hosting or network providers. This does not excuse payment obligations.
22. On-premise and desktop editions
If you license an on-premise or desktop edition, you are responsible for the computer or server it runs on, its security, operating system updates and backups. The licence is for the institution and number of installations stated in your Order and may not be transferred without our consent.
The software checks its licence online from time to time and keeps working offline for a grace period. If a licence expires or is revoked, the software becomes read-only so you can still view and export your data.
23. Changes to these terms
We may update these terms. We will tell account owners about material changes by email and in the Service at least 30 days before they take effect. If you do not agree, you may cancel before they take effect and we will refund the unused part of any prepaid fees. Changes required by law may take effect sooner.
24. Governing law and disputes
These terms are governed by the laws of Pakistan.
The parties will first try to settle any dispute in good faith within 30 days of written notice. Any dispute not settled will be referred to arbitration by a sole arbitrator agreed by both parties, or failing agreement appointed under the Arbitration Act, 1940. The arbitration will be held in Lahore in English.
The courts at Lahore have exclusive jurisdiction for interim relief and for matters that cannot be arbitrated. Nothing here removes rights a Customer has under consumer protection law that cannot be waived.
25. General
You may not transfer this agreement without our written consent; we may transfer it to a successor of our business with notice to you. If a part of these terms is unenforceable, the rest stays in force. Not enforcing a right is not a waiver of it.
Notices to you are sent to the account owner's email address. Notices to us are sent to [email protected]. This agreement is the entire agreement about the Service and replaces earlier discussions.
