The three-copy bank challan is how most Pakistani schools collect fees: the parent pays at the bank, the bank keeps one copy, the school gets one back, and the family keeps one as proof. Qalamora prints this format directly, so the office no longer fills challan books by hand. This article covers choosing the layout, printing a whole month, and handling the copies afterwards.

Choose the layout once

Open Fees > Fee setup > Rules and printing and set:

  • Bank name, branch and collection account or IBAN. Printed on every copy.
  • Challan paper. The common choices are A4 landscape, 3 copies (three tall copies side by side) and Legal landscape, 4 copies for schools that need an extra copy, for example for a second bank or a transport office. A4 portrait, 3 copies stacks the copies and suits printers that do not handle landscape well.
  • Copy names and notes in English and Urdu, for example "Bank copy", "School copy" and "Student copy", with a short note on each.
  • What is printed: bank details, arrears, the amount after the last date with fine, the amount in words, and your logo.

See Challan layouts and paper sizes for every option.

  1. Generate the month's challans in Fees > Challans.
  2. In the register choose the month and, for big schools, one class at a time.
  3. Click Print challans. Qalamora shows how many are ready and whether any student still needs a challan.
  4. Open each part when it is ready and print.

Printing class by class makes distribution easy: the class teacher gets one bundle in roll order. See Generate monthly fee challans.

Printer settings that matter

  • Paper size must match. A4 layout on A4 paper, Legal on Legal. A mismatch shrinks the challan or cuts off a copy.
  • Scale 100 percent. In the browser's print window choose "Actual size" or 100 percent, not "Fit to page".
  • Black and white is fine. Challans are designed in black and white with ruled boxes, so they photocopy and fax clearly and save toner.
  • Urdu prints correctly on any printer because the Nastaliq font is inside the PDF.

Cutting and filing the copies

The copies are separated by dashed lines. A paper guillotine or ruler and cutter makes clean edges. After the parent pays at the bank:

  • the bank keeps the bank copy,
  • the school copy comes back to the office, where the accountant enters the payment at the fee counter with the bank's reference, so the receipt and day book are right,
  • the family keeps the student copy as proof.

File the returned school copies by month and class. If a family says they paid, the challan number on their copy finds the record at the counter in seconds.

When the amount changes after printing

Do not correct a printed challan by hand. If an amount was wrong, send a change request in Fees > Challans. Once approved, print the challan again for the family. The original stays on record. See Change an issued challan.

Single slips instead of bank copies

Some schools collect fees only at their own office. For them a Student slip with office stub is simpler: one slip for the family, with a stub the office cuts off when the fee is paid. Slips can be printed several per A4 sheet or on an 80 mm receipt printer.

Online challans for parents

Families with a parent login can download the same challan from their phone and print it themselves, which helps when a challan is lost. See Create parent and student logins.

مشورہ

Before printing the whole school for the first time, print one class and check one challan you can verify by heart: the student's name, the total, the last date and the bank account.
