Reduce fee defaulters with reminders

A simple monthly routine to bring down unpaid fees: clear challans, a fixed last date, the defaulters list, polite reminders and a fair late fine policy.

In most private schools a small group of families pays late every month, and the office spends days phoning them. Software alone does not fix this, but a steady routine does, and Qalamora makes each step of that routine quick. This article describes a monthly cycle that many school offices already follow on paper, adapted to the tools in Qalamora.

Why families pay late

Before changing anything, it helps to know the usual reasons:

  • They did not get the challan or it was lost in the school bag.
  • The amount is unclear: arrears, a fine or a concession they did not expect.
  • They forgot the last date.
  • They are in real difficulty and need a conversation, not a reminder.

The routine below handles the first three automatically and gives the office time for the fourth.

Week 1: a challan every family understands

  • Generate challans on the same day every month, for the whole school at once. See Generate monthly fee challans.
  • Show what makes up the total. In the challan layout, decide whether arrears are printed and whether the amount after the last date (with fine) is shown. A family that sees "arrears from September" understands the total; a family that only sees a bigger number calls the office. See Challan layouts and paper sizes.
  • Give parents the challan in their login too. Parents with a login can download their child's challan at any time, so a lost paper is no excuse. See Create parent and student logins.
  • Tell parents when a payment is received. Switch on payment notices so families get the receipt number in their app. Trust in the office goes up, and so does on-time payment.

Week 2: one gentle reminder before the last date

Three or four days before the last date, open Fees > Defaulters. At this point the list shows everyone with an unpaid balance. Send one short, polite reminder with Send reminder. The default text already names the student, the amount due and the date.

Choose In-app first, SMS if no app login. Families with a login get the reminder free in the app; only families without a login get an SMS. See Defaulters and fee reminders.

A good reminder is short and factual:

  • the child's name,
  • the amount,
  • the last date,
  • where to pay.

Avoid threatening language in the first reminder. Most families simply forgot.

Week 3: after the last date

  • Apply your late fine consistently, if your school has one. In Qalamora the fine is set once and added at the counter for overdue challans. Applying it every time, to everyone, is what makes it effective. Waiving it should go through a change request with a reason, so it is fair and recorded. See Late fine and collection rules.
  • Send a second reminder to the remaining list. Use Minimum due to focus on larger balances if you only want to reach some families.
  • Print the defaulters list for the principal. Sorting by amount due shows where a personal call is worth the time.

Week 4: personal follow-up

By now the list is short. These are the families who need a conversation. The principal or accountant calls them, offers to split the amount if your school allows part payments, and agrees a date. If a concession is approved, enter it with a reason so next month's challan is right. See Concessions and sibling discounts.

Measure it

Once a month, compare the defaulters total with the previous month. The dashboard shows Outstanding fees and Defaulters every day. If the number of families on the list is falling, the routine is working. If a few families are on it every month, that is a policy question for the owner, not a reminder problem.

Common mistakes

  • Sending SMS to everyone every few days. It costs money and parents start ignoring it. One reminder before and one after the last date is enough for most.
  • Changing amounts informally. Crossing out a figure on a challan or forgiving a fine verbally creates arguments later. Use change requests so there is a record.
  • Different rules for different families without a reason on record. Concessions are fine; unexplained exceptions are not.

مشورہ

The more parents have a login, the cheaper your reminders become. Hand out login slips with the first challan of the year.
