With the online edition, Qalamora looks after the servers. With the desktop edition, your records live on a computer in your school, so the school must protect them. This page explains what to do in plain terms.
Back up regularly
- Make a backup at least once a day, for example after the fee counter closes. A backup is a copy of the database, the uploaded files and the school's security keys, made together.
- Keep copies away from the server. A backup on the same computer is lost with it. Keep at least one copy on an external drive that is not left plugged in, and one more copy in another place, such as the owner's home.
- Keep several days. Keep the last week of daily copies and one copy per month, so you can go back before a mistake was noticed.
- Test a restore now and then with the person who installed your desktop edition, so you know the copies work.
Important
The school's security keys are part of the backup. Without the same keys, a copy of the database cannot be read. Keep backups as private as the records themselves, and never share them by email or chat.
Protect the server computer
- Use a UPS so a power cut does not switch the server off in the middle of saving.
- Do not use the server computer for browsing or downloads. Keep Windows updated and an antivirus running.
- Give each person their own Qalamora login. Nobody needs to sit at the server itself for daily work.
Updates
New versions of Qalamora are installed by the person or company that set up your desktop edition. Make a fresh backup before every update. Updates add to your data and never reset it.
Note
The desktop edition does not yet make backups or install updates by itself. Ask us when you set it up and we will agree a backup routine with you.
