Late fine and collection rules

Decide whether parents may pay part of a challan or in advance, set a late fine per overdue challan, and tell parents when a payment is received.

Each school has its own fee rules. Qalamora does not assume any: part payment, advance payment and a late fine are all set by the school in Fees > Fee setup > Rules and printing, normally by the principal or owner.

Steps

  1. Open Fees > Fee setup > Rules and printing. The top part is Collection rules.
  2. Part payment. Switch on Allow part payment if the counter may accept less than a full challan. When it is off, only whole challans can be paid.
  3. Advance payment. Switch on Allow advance payment to keep extra money as advance credit for the next challans.
  4. Payment notices. Switch on Tell parents when a payment is received to show a notice with the receipt number and amount in the parent's app.
  5. Late fine. Under Late fine enter the Fine per challan. Leave it off if your school does not charge one.
  6. Save.

How the late fine works

  • It is printed on the challan as the amount payable after the last date, if Amount after last date (fine) is switched on in the challan layout.
  • At the counter it is added once per overdue challan when you tick Add late fine for overdue challans. Nothing is added by itself.
  • To waive a fine already on a challan, send a change request with Waive an amount.
