The visitor book replaces the register at the gate or reception. The front desk signs each visitor in, marks them out when they leave, and can print the day's register at any time. The front desk and principal can use it by default.
Steps
- Open Front office > Visitor book. The list shows today's visitors with their purpose, the person they came to meet, and the time in and out.
- Click Sign in a visitor. Enter the Visitor name. Add the Phone, CNIC (optional), Number of persons, Purpose, Person to meet and Notes as needed.
- Save. The time in is recorded automatically.
- Mark them out. When the visitor leaves, click Mark out on their row. The time out is recorded.
- Print the register. Click Print register to get the visitor register for the chosen day as a PDF.
Look up an earlier day
Change the date above the list to see any earlier day, or search by name, phone or the person they met.
Common purposes
The Purpose field suggests your school's usual reasons, such as fee enquiry, meeting a teacher or delivery. The principal can add these in Settings > Front office under Visit purposes. You can always type something else.
Note
A visitor's CNIC is stored encrypted. Only ask for it when your school's security policy needs it.
