A new school is ready to use the same day. Each setup step makes the next one easier, so follow this order. The owner does steps 1 to 5, because only the owner can change settings and add logins at the start. Office staff can do the rest once their logins exist.
The setup order
- Sign in and protect the owner account. Open your school address, sign in and set up two-factor. See First sign-in and two-factor.
- Add your school details and logo. Open Settings > School and branding and fill in the name, address, phone, logo, principal's signature and stamp. These print on challans, forms and certificates. See School profile and branding.
- Check the region and calendar. In Settings > General, confirm the time zone, currency, date format, weekly off days and the month your school year starts. See Region and calendar.
- Create the session, classes, sections and subjects. Open Settings > Academics. Students are always enrolled into a section of a class in a session. See Set up sessions, classes and subjects.
- Give your staff their logins. Open Administration > Users, click Add user and give each person a role such as Principal, Accountant, Teacher or Front desk. See Roles, permissions and users.
- Add or import students. Admit students one by one from Students > All students, or click Import students to upload your existing Excel sheet and check the preview before saving. See student features.
- Set up the fee plan. Enter the fee heads and amounts for each class in Fees > Fee setup. See fee features.
- Print the first challans. In Fees > Challans, generate a month of challans for every class and print them.
- Record the first payment. Take a fee in Fees > Collect fee so you see the receipt and the student's balance update.
- Create parent logins. In Students > All students, click Logins to create logins for a class or for the students you selected. Parents sign in with their mobile number and see their own children's fees, attendance and results. See parent and student portals.
The checklist on your dashboard
After the first sign-in, the dashboard shows Get your school ready with these steps and a percentage. Each step ticks itself when the work is done. Click Hide the checklist when you no longer need it.
Tip
Do steps 2 and 4 carefully before admitting students. A class or section added later is easy, but a correct letterhead and session from day one saves reprinting challans and forms.
Choices you can make later
You do not need to finish every setting on day one. Numbering, notifications, the dashboard for each role and sign-in rules can all be changed later from Settings > Customize. See Customize your school.
