A school holds sensitive information about children and families. Qalamora is built so that only the people your school allows can see it, and so that every important action leaves a trace.
Each school is separate
Every school has its own web address and its own logins. Every record carries the school it belongs to, and the system checks it on every request, so one school can never see another school's students, fees or files. Switching a module off hides it but never deletes its data.
Sensitive fields are encrypted
B-Form and CNIC numbers, phone numbers, addresses and medical notes are stored encrypted. Searching by them still works because Qalamora keeps a separate fingerprint for matching, not the number itself. Screens and printouts show only what a person's role needs; for example, phone numbers are partly hidden for staff who do not manage that area.
Only the right people see each thing
- Every screen and action checks the person's role. Roles are made of plain-language permissions that the owner can change in Roles. See Roles, permissions and users.
- Parents and students see only their own family's records, through their own login.
- Owners and accountants must use two-step sign-in. The school can require it for more roles.
Money cannot be quietly changed
Receipts and vouchers are never edited or deleted. Mistakes are fixed with a reversal or an approved change request, so the original stays on record. See Correct a voucher.
Everything important is logged
Sign-ins, changes to records, printouts and downloads appear in the audit log, with who did it and when. Logs hold record numbers, not personal details.
Files and printouts
Uploaded files and printouts are never on public links. A download link works only for the person who asked for it and only for a few minutes.
Qalamora support
Qalamora staff cannot open your school by themselves. When you ask for help, the owner can allow a time-limited support session (read-only unless agreed otherwise) in Settings > Subscription. Every session is shown there and in the audit log, and the owner can end it at any time.
نوٹ
No system is perfectly secure. Keep passwords private, use two-step sign-in, and remove logins of staff who leave. If you suspect a problem, contact us straight away.
