On Settings > Backups the school owner can keep a locked copy of every school record in the school's own cloud account. Backups run on a schedule you choose, and you can also start one at any time.
Before you start
- Only the school owner can see and change this page.
- Choose a backup passphrase you can remember. It locks every backup. Qalamora never stores it and cannot recover it.
- Google Drive, Dropbox and OneDrive appear as Not available yet until Qalamora support switches them on for your installation. An S3-compatible bucket works without that.
Set up backups
- Open the Backups page. Go to Settings > Backups.
- Connect a destination. Under Where backups go, press Connect on Google Drive, Dropbox or Microsoft OneDrive and sign in to the account that should hold the backups. For your own bucket, press Connect on S3-compatible bucket and fill in the form.
- Set the passphrase. Under Backup passphrase, type a passphrase of at least 12 characters twice, tick the box that says you understand a lost passphrase cannot be recovered, and press Save passphrase.
- Choose the plan. Under Backup plan, switch on Back up automatically, pick the destination, Every day or Every week, the time (school time) and how many backups to keep.
- Choose whether to include files. Switch on Include stored files to add photos, documents and printouts. The page shows their size first.
- Save and test. Press Save plan, then Back up now to make the first backup straight away.

Write the passphrase down and keep it somewhere safe. Without it nobody, including Qalamora, can open your backups.
What Qalamora can see in your cloud
- Google Drive: only the files Qalamora creates, in a folder named Qalamora Backups. It cannot see anything else in your Drive.
- Dropbox and OneDrive: only Qalamora's own app folder (Apps folder).
- S3 bucket: only the bucket and folder you enter. The address must be a public https address; keys are stored encrypted and only their last four characters are shown.
What a backup contains
Each backup is two files in the destination:

A README.txt in the same folder explains the files. Older backups beyond the number you keep are deleted from the destination automatically.
If a backup fails
The owner gets a notification in the bell and an email with the reason. Open Settings > Backups: the History list shows every run with its status, size and time. Common reasons are a withdrawn sign-in (press Connect again) or a full cloud account. Press Test connection to check a destination; it writes a tiny file and deletes it.
Disconnect a destination
Press Disconnect on its card. Scheduled backups to it stop. Google and Dropbox access is withdrawn at once. For OneDrive, also remove the app from your Microsoft account's app permissions. Backups already saved stay in your account.
